How does nationwide AV support booking work?

Send a short brief: dates, city, venue, room count, what is being presented and who is in the room. A phone call is usually faster than a form, and most briefs take about ten minutes to cover.

You get a written quote back with travel already built in — day rates, travel days, flights, hotel and per diem all itemized so nothing appears later as a surprise. If your finance team prefers a single line item, the same quote can be issued all-in as one fixed number per show.

Once the quote is approved, dates are held and pre-production starts immediately: venue AV contact, room diagrams, deck and playback inventory, rehearsal windows and a run-of-show review. Arrival is normally the day before the first session so load-in, patching and a full check happen before anyone from your team walks in.

What does traveling AV support cost?

Out-of-market work typically runs 20-40% above the Dallas-Fort Worth base rates, which sit between $675 and $1,050 per day depending on role and program complexity. Travel days bill at the full show-day rate.

Flights, hotel and per diem are passed through at cost with receipts — no markup, no bundled travel fee. Ground transportation is included in per diem unless the venue requires a rental vehicle for gear runs.
